Stop Making To-Do Lists: Build a “To-Build List” and Watch Your Coaching Business Soar

Let’s be honest, business coaches: how many times have you looked at your never-ending to-do list and felt that familiar pang of guilt?

How many items do you drag from one page of your planner to the next, week after week, year after year? If you’re like most, your list is a graveyard of good intentions with precious little movement toward real, sustainable growth.

It’s time to torch the old to-do list mentality and install a builder’s mindset instead. In this post, I’m going to break down the “to-build list” strategy I talked about on the podcast, a fundamental shift that creates compounding leverage and separates the thriving coaches from those stuck on the treadmill.

From “To-Do” to “To-Build”

Here’s the harsh truth: To-do lists keep you busy. To-build lists make you wealthy.

A to-do list is, by nature, reactive and often filled with low-impact, urgent-but-unimportant tasks. It’s a recipe for burnout and mediocrity.

A to-build list is proactive. It’s your playbook for constructing assets, systems, campaigns, frameworks, and checklists, that, once built, continue delivering results long after you check them off.

Ordinary coaches live by to-do lists. Extraordinary coaches live by to-build lists.

What Belongs on a “To-Build” List?

Let’s put some flesh on the bones here. What exactly goes on a to-build list for business coaches?

Here’s what I mean by true leverage:

  • A Facebook ad campaign that consistently brings inbound leads (not just “run FB ads”, that’s a to-do).
  • An onboarding process (SOP) that eliminates hand-holding and repeats itself with every new client.
  • A signature sales demonstration or webinar that converts like crazy, again and again.
  • A robust set of client-facing assets: checklists, frameworks, scripts, and workbooks.
  • Automated nurture sequences that follow up with leads so you don’t have to.
  • Monthly client reports that are generated automatically instead of painstakingly assembled by you at midnight.

Don’t just look at what needs doing. Ask: What needs to be BUILT so I can remove myself from the equation and get exponential results? That’s leverage. That’s the goal.

 

The Power of Checklists

Now, don’t roll your eyes, checklists aren’t just productivity porn. They are the backbone of reliable execution in elite fields. As I said on the podcast, pilots live by them; hospitals save lives with them; world-class coaches grow empires on them.

Why? Because checklists eliminate errors, create consistency, and turn chaos into order. If the surgeon can save lives and the pilot can avoid fiery disaster by using a checklist, pretty sure you can use one to onboard a client or run a killer sales call.

Take a lesson from aviation and medicine: complexity kills, but checklists create performance under pressure.

Addressing the Big Objections

But Karl, I’m so busy, I don’t have time to build all this stuff!

Let me hit you with some tough love: If you never get off the treadmill and carve out time to BUILD, you will remain forever busy and never truly free. The definition of insanity is doing the same things and expecting different results.

How to Build Your “To-Build List” Today

  • Audit Your Repeats:
    Start by listing the tasks, conversations, and processes you repeat weekly or monthly. These are priority #1 for systematization.
  • Visualize Your Assets:
    Imagine your business could run with half of your current input. What frameworks, campaigns, or tools would need to exist? Sketch them out.
  • Draft Your “To-Build” List:
    Instead of 14 random to-dos, write down the assets you will build this quarter. Make each item specific, “Build webinar funnel,” not “do a webinar.”
  • Block Real Time:
    Actually schedule non-negotiable build sessions. Turn off distractions, shut the door, put the phone on airplane mode. No building, no freedom, simple as that.
  • Leverage or Die:
    Each time you sit down to work, ask yourself: Am I building something that will keep delivering for months or years, or am I just keeping busy? Ruthlessly prioritize leverage.
